Course Overview

Reception looks like the softest post on any site. It is usually the most exposed one.

Every unauthorised person who gets into a building walks past somebody, and most of the time they walk past reception. They arrive confident, they use a name, they follow someone through the barrier, or they simply look like they belong. So an officer on the desk needs a process that works whoever is standing in front of them.

Visitor access control training gives you that process. Five modules covering sign-in and sign-out, identity verification, handling people who are not expected or not welcome, and keeping records that stand up when someone asks a hard question about them.

Why the Visitor Log Actually Matters

The fire alarm goes off. Everyone assembles outside. Somebody asks the question the whole system exists to answer: who is still in the building?

The answer is your visitor log. Not the access control software, not the badge machine, the record of who signed in and who signed out. A visitor who signed in and never signed out sends people back into a building. A visitor who left without signing out does the same thing.

That is why sign-out discipline matters as much as sign-in, and why this course treats the log as a life safety document rather than a formality.

By the end you can run a sign-in process that stays consistent when twenty people arrive at once. You can check identity the same way every time, which is what keeps the process both effective and non-discriminatory. You can challenge a tailgater without turning it into a confrontation. And you can produce a visitor list at an assembly point that people can actually rely on.

Standards and Legislation

• UK GDPR and the Data Protection Act 2018, visitor records are personal data, so purpose, retention and storage all matter
• Regulatory Reform (Fire Safety) Order 2005, the visitor log feeds the roll call, which is why sign-out is not optional
• Health and Safety at Work etc. Act 1974, s.3, the duty owed to people who are not your employees, including visitors
• Equality Act 2010, checking everyone the same way, and making reasonable adjustments at the desk
• BS 7499, general standards for security guarding services
